Creating a Mailing List in First Class

I have been asked several times during the last month if there is a way to automate the process of sending email to a group of people such as teachers in the same division. It can be time consuming to have to enter each teacher's name every time a message is sent to this group. If you create a Personal Mail List you can simply enter the name of your mail list anytime you want to send a message to this group.

  1. From the File menu in First Class choose New ---> Personal Mail List.
  2. When the New Personal Mail List window appears fill in the information.
  3. Choose a unique name for this mail list and enter it in the Name section of the window.
  4. After entering the name, move to the Members section below and enter the names of the people you want to include in this mail list.
  5. Once you have entered all of the names close the window click OK.
  6. Whenever you want to send a message to this group simply type the name of your mail list.

Getting Ready for Term 3 Early Years Report Cards

Windows

Windows Early Years Report Card and Editing Tips

  • The "ctrl +left arrow" key combination moves cursor to the beginning of a word.
  • The "ctrl + right arrow"key combination moves cursor to the end of a word.
  • The "home" key moves cursor to the beginning of a line.
  • The "end" key moves cursor to the end of a line.
  • The "ctrl + a" key combination selects the entire comment.
  • The "ctrl + z" key combination will undo the last mistake you made, i.e., accidentally deleting a comment.
  • The "ctrl + c" key combination will copy highlighted text.
  • The "ctrl + v" key combination will paste the last thing you copied.
  • The "ctrl +down arrow" key combination when you are in the comment box brings you to the next student.
  • The "ctrl +up arrow" key combination when you are in the comment box brings you to the previous student.
  • Holding the shift key while performing the above keyboard combinations will highlight the text you wish to copy, replace or delete.

Mouse Clicks

  • Place your mouse over the middle of a word and quickly double click to select an entire word. This is a useful way to replace a name. Just double click and type the correct student name. It will replace the name without having to take the time to delete it first.
  • Two clicks highlights a word.
  • Three clicks highlights a line.
  • Four clicks highlights a paragraph.

Creating a Third Term Early Years Report Card

If you would like to create a report card you can use for third term reports without having to reenter the student names you can make a copy of the folder containing the files you used second term

  • Place your mouse over the folder with your term 2 reports. It is likely is called Report Card. You might have named it something different.
  • Click ONCE on the Report Card folder with the RIGHT mouse button.
  • A small menu will appear. Choose Copy from the menu by clicking the LEFT mouse button once.

  • Place your mouse again over the folder with your term 2 reports and click ONCE with the RIGHT mouse button.
  • When the small menu appears choose Paste by clicking the LEFT mouse button once.
  • This will create a copy of the folder inside the folder you used for term 2.
  • Double click with your left mouse button on the Report Card or term 2 folder to reveal its contents.
  • When the contents of the folder are revealed you will see the files for working on the report card and a Report Card folder.
  • Place your mouse over this new folder and click ONCE with the RIGHT mouse button.
  • A small menu will appear. Choose Rename from the menu by clicking the LEFT mouse button once.
  • The name "Report Card" under the folder will now be highlighted. Use the keyboard to rename the folder Term 3.
  • Click on an open area to confirm the Term 3 as the new name of the folder.
  • Click and hold the LEFT mouse button on this Term 3 folder. With LEFT mouse button held down drag the Term 3 folder onto the computer Desktop.
  • Cloce the Report Card folder you opened in step 7.

  • Now you can prepare the reports for term 3.
  • Double click on the Term 3 folder you just created to reveal the contents.
  • When the contents of the Term 3 folder are revealed double click the JKSK-Page One V2.3.fp3 file to start up the report cards.

  • You likely do not want the term 2 comments in your term 3 report so place the cursor in the comment box.
  • Use your mouse to highlight the contents of the comment box or if you like you can hold down the control key on the keyboard and press the "A" key. This will highlight everything in the comment box.
  • With the comment highlighted press the delete key to remove the second term comment.
  • Repeat the procedure for the rest of the students.
  • You may also wish to change the term and date at this time as well.

Later in the term when you are ready to work on the report cards again you can add any new students and remove any students who have left your class

  • Click once on the NAME "Report Card copy" below the folder to highlight it.
  • With the name "Report Card copy" highlighted use the keyboard to rename the folder Term 3.
  • Click on an open area to confirm the Term 3 as the new name of the folder.
  • Now you can prepare the reports for term 3.
  • Double click on the Term 3 folder you just created to reveal the contents.
  • When the contents of the Term 3 folder are revealed double click the JKSK-Page One V2.3.fp3 file to start up the report cards.
