Maintenance Tips

Now that report cards are done for term 1, here are some easy maintenance tips to simplify 2nd term, as well as to protect your work from first term. Your actual marks and comments for specific students are now saved in the admin system, so they are safe, but your personal library of comments is not transferred. You really should do these three things: Save your comments as a library, import them into eTeacher, and delete last terms comments ready for second term.

Exporting a Library

Exporting your comments as a library allows you to save your comment bank, for safe keeping and storage, to send to a friend, or to set up as a library for use next year.

  1. Start eTeacher.
  2. Click on the Report tab.
  3. Click on Comment Builder.
  4. Click on the Export Library tab in the top right corner.
  5. Click on the appropriate information that you want to include in the library. (You can choose a specific subject, level, grade or type of statement) In most cases, select ALL.
  6. Where it says Library Name, fill in the name you would like to see. This is the name that will appear as a title in red letters in the libraries list after your import.
  7. Click on Save As to create the new library.
  8. In the save window, in the Save In: line, choose a location to save to, in most cases the Desktop. (You could also make a backup to floppy if you wish.)
  9. Under File Name, give it a name.
  10. In the Save as type: line, click on Tab-Separated Text.
  11. Click on Save.

Double clicking on the tab file to look at it will simply give you an unreadable mass of data. It is meant to be opened only in eTeacher. You also risk damaging the file when it is converted by your computer in an effort to sort the information into a readable form.

  1. Open eTeacher.
  2. Click on Report.
  3. Click on Comment Builder.
  4. Click on the Manage Library tab in the top right.
  5. Click on the Import Library button in the lower left.
  6. When it asks where, change the location in the Look In: line to where you saved the library.
  7. Click on the file name. If it doesn't appear, make sure the Files of Type line says All Available
  8. Click on Open.
  9. A new button will appear in the library list, with the name of the file you imported.
  10. Click on the button to view the contents.
  11. You can move a single comment from this library to your comments list by clicking on the comment. A small black triangle will appear at the left side of the comment. Click on that triangle, and that single comment will be copied to your comment list.
  12. You can transfer all the comments at once using the Transfer Library button that appears between the two files.

  7. Click on the file name. If it doesn't appear, make sure the area to the left of the words Show: should say All Available. Make this change if necessary
  8. Click on Open.
  9. A new button will appear in the library list, with the name of the file you imported.
  10. Click on the button to view the contents.
  11. You can move a single comment from this library to your comments list by clicking on the comment. A small black triangle will appear at the left side of the comment. Click on that triangle, and that single comment will be copied to your comment list.
  12. You can transfer all the comments at once using the Transfer Library button that appears between the two files.


Cleaning Up Your Comments

At the end of the term, it is a good idea to clean up your comments list ready for second term. Since eTeacher allows you to create comments at any time, now is a good time to delete all your first term comments, so you can begin writing second term comments. In this way, you can compose comments for a unit of study as soon as you finish it, while it is fresh in your mind, and having a blank list to start means you won't have to filter through all your first term comments to find this term's work.

  1. Open eTeacher.
  2. Click on Report.
  3. Click on Comment Builder.
  4. Click on the Manage Library tab in the top right.
  5. Click on the library you just created. You can now see all the comments in the library on the right, and all the comments from the last term on the left. They should be identical. If they are, you can safely delete all the comments in the My Comments section.
  6. Below the My Comments box on the left is a Garbage Can, that says Delete All. Click on it.
  7. Click on Delete when it asks if you are sure.
  8. Click on Delete again.
  9. Click on the Return button to get back to the Main screen.

You now have a blank comment section to work in.
